Disbursement Detail

The disbursement detail page is where staff reviews, edits, and decides on a single disbursement request. It supports three variations that demonstrate different AI review approaches.

The page is a single card with several sections stacked vertically:

  1. Header info box — file info, case/contract details, financials
  2. Payee & payment controls — payee selection, payment type, ACH reminder
  3. Date fields — start date, end date, wait for approval date
  4. Right sidebar — approval user toggles, escrow agreement, agency info
  5. Tab bar — Requests, Notes, Transactions, Change Log, Recent DRs
  6. Line item spreadsheet — editable columns with AI review panel
  7. Bottom status bar — assignment and status comboboxes

A bordered box with three sections side by side:

SectionContents
File Info (left, gray bg)File name link, Create Compensation link, GSA status, Submitted By
Case/Contract Info (center)Case Type, Contract Type (from DR data), Submitted date
Stage & Financials (right)Stage label, Case Redacted badge (when applicable), Request Total, Case Ledger Balance, Minimum Balance
  • Payee Name — editable text input
  • Select Payee — toggle switches for “Surrogate Is Payee” and “Agency Is Payee”
  • GC Payment Type — displays the payment method (e.g., DIRECT DEPOSIT)
  • Send ACH Reminder — button with “Last Sent” timestamp

A list of named users with toggle switches for selecting who needs to approve the DR. Roles include Donor, Intended Parent, Case Manager, Attorney, Agency Rep, Clinic, Accountant, Coordinator, Insurance, Social Worker, Psychologist, Escrow Officer, and Legal Counsel.

Below the toggles:

  • Escrow Agreement — Send Reminder button with last-sent date
  • Agency Notes — text area for agency-specific notes

Five tabs control the content below the header:

NotesInternal notes
TransactionsTransaction history
Change LogAudit trail of changes
Recent DRsOther DRs for the same case

The Requests tab shows a horizontal spreadsheet layout with three zones:

Row labels for each field, pinned during horizontal scroll:

  • Request ID, Description, Type, Date of Service, Invoice, Amount, Total Paid in Type, Total Paid in Category, Internal Note, Seedtrust Note (displayed to client), Other Notes (from client), Files, Delete

Each line item is a 400px-wide column with editable fields:

  • Request ID — text with optional AI verdict badge (per-item mode only)
  • Type — searchable combobox with 35+ expense categories (Cerclage, Nutritionist, Mileage, Childcare, Housekeeping, Legal Services, etc.)
  • Date of Service — date picker
  • Invoice — text input
  • Amount — currency input with $ prepend
  • Notes — three separate textareas (Internal, SeedTrust, Other)
  • Files — list of attached files with edit/delete actions, plus Upload Files button
  • Delete Request — danger button at the bottom

The right panel shows AI analysis. Its behavior differs by variation — see below.

The detail page renders differently based on the DR:

  • 8 line items in horizontal scroll
  • Each line item has its own AI verdict badge: ALLOW (green), DENY (red), or INSUFFICIENT INFORMATION (yellow) with confidence percentage
  • Clicking a line item selects it and updates the AI panel
  • Glow effect — the selected column gets a colored box shadow and top border matching its verdict color
  • Auto-scroll — selecting a line item scrolls it into view
  • AI panel header shows the selected request ID, a “View GSA” link, a “1/8” counter, and prev/next navigation arrows
  • 1 line item with a per-item AI review
  • Same AI panel layout as DR-001, but no navigation since there’s only one item
  • Demonstrates the detail page works cleanly with a single line item
  • 5 line items but no per-item AI badges or glow effects
  • The AI panel shows a single Overall DR Recommendation instead of per-item reviews
  • The overall verdict aggregates all line items into one ALLOW/DENY/INSUFFICIENT INFORMATION decision

AI Review Panel — Per-Item Mode (DR-001, DR-002)

Section titled “AI Review Panel — Per-Item Mode (DR-001, DR-002)”

The panel displays for the selected line item:

FieldDescription
DecisionALLOW, DENY, or INSUFFICIENT INFORMATION with colored badge
ConfidencePercentage (e.g., 82%)
Contract SectionQuoted excerpt from the GSA relevant to this expense
Contract LimitThe allowable amount per the contract
Amount ComparisonHow the requested amount compares to the limit
Decision/ReasoningWhy the AI reached its verdict
Case NotesActive notes found (or “No active case notes found” with checkmark)
Duplicate DetectionWarning icon with links to potential duplicate ledger entries
AttachmentsFile count and clickable file links

Navigation between items: prev/next arrows and a “1/N” counter. Clicking a line item column also switches the panel.

The panel shows a holistic verdict for the entire DR:

Full-width colored banner (green/red/yellow) showing ALLOW/DENY/INSUFFICIENT INFORMATION with confidence percentage.

Between the verdict badge and the analysis — a list of problematic items with:

  • Deny icon (red) or warning icon (yellow)
  • Request ID (bold)
  • One-sentence reason (first sentence of the AI reasoning)

Same structure as per-item mode but covering all line items holistically:

  • Relevant Contract Sections (all applicable sections quoted)
  • Contract Limits (summarized per category)
  • Amount Comparison (per-item breakdown showing which are within limits and which are flagged)
  • Decision/Reasoning (overall recommendation with specific action items)
  • Duplicate Detection, Case Notes, Attachments

Persistent link next to the case number — opens the GSA contract in the attachment lightbox for cross-referencing AI citations.

A collapsible bar fixed at the bottom of the page with four comboboxes:

FieldOptions
Assigned ToList of admin staff
Internal ReviewReview status options
Auto AuthorizeEnable/disable auto-authorization
Request StatusSubmitted, Approved, Pending, Denied, Processed, On Hold

The comboboxes open upward to prevent clipping at the page bottom. Selecting a value in the expanded view updates the collapsed bar immediately.

A bottom-anchored drawer that slides up, triggered by clicking duplicate detection links in the AI panel. Contains:

  • Search bar — filters ledger entries by any field
  • Ledger table — columns: DR Number, Ledger ID, Occurrence Date, Paid Date, Payee, Category, Status, Amount, Balance
  • ESC key closes the drawer

The drawer helps admins cross-reference AI duplicate flags against actual ledger entries without leaving the page.

A modal viewer triggered by clicking file links anywhere on the page (line item files, AI panel attachments, View GSA). Features:

  • Full-screen overlay with the file displayed
  • Arrow key navigation — left/right arrows cycle through files when multiple are attached
  • ESC key closes the lightbox
  • File name displayed in the header
